Trash and deletion

When you no longer need a case, you move it to the trash. It stays there for 7 days before it's deleted for good, so you have time to undo it. You can also delete a case right away, or let cases delete themselves after a number of days.

The video shows everything from the trash to automatic deletion. Below, you can read how to do it.

How to do it

1. Move the case to the trash. Under Cases, click the trash icon, "Move to recycle bin", next to the case and confirm with "I'm sure". The recipients' links stop working at once.
2. Find the trash. Click "Show all filters" and set "Deleted" to "Yes". Each case shows the day it will be deleted for good.
3. Restore a case. Click "Recover case" next to the case and confirm. The case goes back to the folder it was deleted from, and the recipients' links work again.
4. Delete right away. Click "Delete case immediately" next to a case in the trash and confirm. The case and all its data are deleted at once. You can also tick "Delete immediately" when you delete a case from the list.
5. Let the case delete itself. When you create a case, choose under "Deletion" that the case should be deleted, and enter a number of days. It must be at least 5 days.

Good to know

• The days before automatic deletion are counted from the day the case was created. When the time is up, the case moves to the trash, and after 7 days it's deleted for good.
• When a case moves to the trash by itself, the recipients get an email saying the case will be deleted in 7 days, so they have time to download the documents. You can turn that email off under Company profile, "Notifications".
• If a signer has saved the documents in their Personal Vault, they keep their own copy, even when you delete the case.
• You can move several cases to the trash at once: tick the cases, click "Actions" and choose "Delete selected".

Questions and answers

Can I get a case back after it's deleted for good?

No. Once the 7 days in the trash have passed, or once you've deleted the case right away, the case and its documents are gone and can't be restored.

Can I change the deletion on a case that has already been sent?

Yes, as long as the case is awaiting signatures. Open the case and choose "Edit settings" in the menu. You can also set deletion in a preset under Presets, so it applies to every case that uses it.
