Customise the e-mail to your recipients
See how to customise your e-mail template with your own text and heading, and how reminders and the case complete message have their own texts.
The e-mail recipients get is their first impression of your case. In an e-mail template, you decide the subject, heading, text, button and logo, so the e-mail sounds and looks like you.
You edit straight in a preview of the e-mail, so you always see the result. The video shows how to change the heading and how the tabs work.
How to do it
- Open the template. Go to "Communication" and click "Edit" on the template you want to change.
- Edit the text in the preview. Click the subject, heading, body or button, and write your own text.
- Use tags. Tags such as {recipient_name} and {case_name} are filled in automatically with the recipient's name and the case title when the e-mail is sent.
- Go through the tabs. Each tab has its own e-mail: "Recipient must sign", "Recipient does not sign", "Recipient must approve", "Reminder" and "Case complete".
- Save. Click "Save". The template is used on every new case set up with it.
Good to know
- Fields you leave empty under the tabs use the standard text. Only fill in what should be different.
- You can change the button colour and put your own logo on the e-mail.
- If you have different kinds of cases, you can have several templates and choose the right one on each case.
Questions and answers
Can I see what the e-mail looks like for the recipient?
Yes. You edit in a preview, and on a case you can also see the e-mail with the recipient's name before you send.
Does it change e-mails already sent?
No. Sent e-mails stay as they are, but everything sent with the template from now on uses the new text, including upcoming reminders.
Can I send from our own domain?
Yes, with the own sender add-on the e-mail can come from your own address instead of NextSign's.
