Send to many at once
See how to do a mass send in NextSign: one template, a spreadsheet of recipients and a case for each.
When the same agreement has to go to many people, such as new terms for every client, you can do a mass send. You use a template with fields and a spreadsheet with one row per recipient, and NextSign makes a case for each.
The video shows the whole process from template to a run that's ready to start. Below, the steps are described.
How to do it
- Choose the template. Hover over the template under Documents and choose "Mass send".
- Upload the spreadsheet. Upload a spreadsheet or a CSV file with one row per recipient. Columns named like the template's fields are matched automatically.
- Choose the recipients. Click "Add recipient" and choose which columns hold the recipient's name and email. If several people sign each case, add them the same way.
- Name the cases. Under Case name, on the Map your columns step, enter a name for the cases. Use a column in curly brackets, such as {name}, and each case gets the recipient's name. Without a name, the cases only get a running number.
- Review the run. You see how many cases will be made, how many signatures that means and whether every row is ready.
- Create the run. Click "Create bulk run" and confirm. The run is saved, but nothing is sent yet.
- Start the run. Click "Start job" and confirm when you're ready. Only then are the cases sent.
Good to know
- Fields like the company name and the date are filled in automatically and don't belong in the spreadsheet.
- The mass send is saved as a draft along the way, so you can continue later.
- Use column names that look like the template's fields, and NextSign matches them for you.
Questions and answers
How many recipients can I send to?
As many as the spreadsheet has rows. Each row becomes a case with its own details.
Can I see who has signed?
Yes. Once the run is going, the statistics page shows how many have opened and signed, and you can send reminders from there.
What does a mass send cost?
The review step shows how many signatures the run means and how many credits you'll have left afterwards.
