Send personal invitations

With personal invitations, you send a form to specific people. Each person gets their own link and fills in only the questions meant for them, for example a customer and a co-owner who each give their own details.

The video shows how to get the form ready for invitations, send it to two people and follow along under Submissions. Below, the steps are described.

How to do it

1. Choose the entry point. Under Overview, choose "Invite specific people".
2. Choose the invitation. Under "People", choose the email template that's sent with the link. With "Build email template", you make a new one.
3. Create the roles. Create a role for each person who fills something in, for example Customer and Co-owner.
4. Assign the questions. Under "Form", use "Who answers this?" to choose who answers each question. If you choose several roles, each person gives their own answer and gets their own field in the document.
5. Publish. Under "Test & publish", click "Publish changes". New invitations use the published version.
6. Send the invitations. Under Submissions, click "Create webflow" and choose the form. Enter the name and email of each person and click "Start flow".
7. Follow along. Under Submissions, you see who has filled in their part. Open the flow to see the answers and the personal links, and send a reminder with "Send reminder".

Good to know

• Each person sees only their own questions. The others' answers aren't shown on their link.
• The template you choose under People is the default. If you pick another template for a specific person when you send, that one is used instead.
• If you entered a wrong email, you can correct the person in the flow and send the invitation again.
• A role without questions gets no link, and the flow doesn't wait for it. The card under People shows how many questions each role answers.

Questions and answers

What happens when everyone has filled in?

The flow is marked as completed, and you're notified. If the form ends in documents, the agreement is created from the answers.

Can I send the same form to many people at once?

Yes. The form can also be sent as a mass send, where each recipient gets their own link.
