Owner register lookup

See how NextSign looks up the owners of a Danish property in the Danish owner register and sends the case to each owner's own e-Boks. For surveyors and anyone who writes to property owners in Denmark.

When you write to a property, the person living at the address isn't always the one who owns it. With the owner register lookup, NextSign finds the owners of a Danish property when you pick the address on an e-Boks recipient, and sends to the owners instead. Each owner gets the letter at their own address.

The feature is made for Danish properties, for example for land surveyors. Below, the steps are described.

How to do it

  1. Have the integration turned on. The lookup needs the "The Owner Registry" integration under "Integrations" and an active e-Boks integration. Contact NextSign to have it turned on.
  2. Choose the e-Boks template. Add a recipient to the case and choose an e-Boks template on the recipient.
  3. Enter the property's address. Type the address and pick it from the list. NextSign looks up the property's owners as soon as you've picked the address.
  4. Approve the owners. The "Owner register lookup" window shows the owners with name and address. Click "Approve" to send to the owners, or "No thanks" to keep the recipient as it is.
  5. Check the recipients. Each owner becomes their own recipient. A person gets the letter at their address from the Danish civil register, and a company through its CVR number. The property's address isn't used.
  6. Send the case. Under the documents, you see a letter for each owner. Click "Send documents" and confirm.

Good to know

  • If you import recipients from a file of addresses with "Import contacts", you can tick "Find real owners via owner registry". Each address is then replaced with its owners when they can be found.
  • In a mass send, you can look up the owners for the cases with e-Boks recipients with "Run owner lookup".
  • If an owner's address can't be found exactly, you see it on the recipient and can correct the address or use the CPR number.

Questions and answers

Where does the information come from?

The owners come from the Danish owner register (Ejerfortegnelsen) through Datafordeleren, and the addresses from Denmark's official address register.

Does it work outside Denmark?

No. The owner register only covers Danish properties, and e-Boks and physical letters can only be sent to Danish addresses.
