With a public form, the client can fill in their own details and sign the agreement in one go. The answers fill in your Word template, and the agreement is sent straight for signature.

The video shows a form that is almost finished, and the settings that make it send documents for signature. Below, the steps are described.

How to do it

  1. Choose the outcome. Under "Overview", choose "Send documents for signature". The form then gets a step where you add the documents.
  2. Add the Word template. Under "Documents", upload the template. Fields in curly brackets, such as {client_name}, are filled in with the answers. With "Suggest a form from the documents", AI can suggest questions from the document. It costs credits, and you review the suggestion before anything is added.
  3. Choose the signer. Under "People", tick "Signs the documents" on the role that signs. Under Contact details, the role's name and email can be taken from an answer in the form.
  4. Link the questions to the document. Under "Form", click a question. Under "Document tag", you see the name of the field in the document, and it must appear exactly like that in the Word file.
  5. Send the client on to signing. Under "After submission", tick "Open the signing room after submission". The signing room then opens as soon as the form is sent.
  6. Test and publish. Under "Test & publish", try the form, and with "Test-fill and preview" you see the document filled in with sample data. Click "Publish form" when everything looks right, and share the link.

Good to know

  • A field the client shouldn't see, such as an hourly rate, can be marked "Hidden field" and given a "Default value". The value goes into the document.
  • Global fields such as {company_name} are filled in automatically with your company details.
  • The role's name, email and phone number can also go into the document. The tags to use are shown with the role under People.

Questions and answers

What if the client doesn't sign straight away?

The agreement is created as a case and sent to the signer, so the client can also sign later from the link in the email.

Do I need a Word document?

Yes, when the answers should fill in the document. The template must be a Word file (.docx) with fields in curly brackets. Other files can be attached, but they aren't filled in.
