A form can do much more than collect answers. Several people can fill in their own parts, questions can appear depending on earlier answers, values can be calculated, and the answers can fill in a Word template that then goes out for signing.

The video shows how the features work together in a form for new tenants, where the tenant and co-tenant fill in their details and the answers end up in a tenancy agreement. The main steps are described below.

How to do it

  1. Choose the entry point and outcome. Under Overview, choose whether the process starts with a public link, personal invitations, you filling it in yourself, or the API. Then choose whether the answers are kept, prepared for review or sent for signing. Your choice decides which steps you get.
  2. Add the documents. Under Documents, upload the Word template. Fields such as {cpr} in the template are filled in with the answers, and "Suggest a form from the documents" can suggest the questions for you.
  3. Create the roles. Under People, each role has its own card. Filling in shows what the role fills in. It is set automatically from the questions, and a role without questions gets no link, so the process doesn't wait for it. Under Signing, you choose whether the role signs, in what order, and whether to "Require CPR check". Each role also has tags for name, email and phone, such as {tenant_name}, which you copy with one click.
  4. Build the questions. Under Form, add questions page by page and choose under "Who answers this?" which role answers. If you choose several roles, each person gets their own answer and their own field in the document.
  5. Add rules, conditions and calculations. "Answer rules" checks the answer before the person can continue. "Show this question when…" only shows the question when another answer matches, and "Calculation from other fields" works out a value from other answers.
  6. Finish the form. Write the message under "After submission", choose the background and button colour under Design, and choose signing methods, email template and folder under "Case settings".
  7. Test and publish. Under "Test & publish", pick a role under "Test as" and try the form as that person. With "Test-fill and preview", you see the document with your test answers. Click "Publish form" when the checklist is ready.

Good to know

  • A yes/no answer can control a section of the Word template. Put {#pets} before the section and {/pets} after it, and the text is only included when the answer is yes. With {^pets}, the text is included when the answer is no.
  • Sensitive answers can be encrypted with "Encrypt the answer". A CPR number is encrypted from the start.
  • "Allow upload from phone" shows a QR code and an SMS link next to the upload field, so the person can take a photo with their phone.
  • Under Contact details, leave the name and email empty if it is a new person each time. If it is always the same person, enter them, or choose "Or take from an answer".

Questions and answers

Can several people fill in the same form?

Yes. Choose personal invitations, create a role for each person and assign the questions. Each person gets their own link and answers the questions assigned to their role.

Where do I find the identifier for the Word template?

Click the question. The identifier is under "Document tag", for example {pets}. Write it exactly like that in the template, or change the identifier to match the template.
