Contacts, groups and import
See how to create contacts, put them in groups, import a list from Excel and add a whole group to a case.
The contact book holds the recipients you send to again and again, with name, e-mail, phone, address and position. Contacts can be put in groups, so you can add, for example, the whole board to a case in one click.
If your contacts are already in a spreadsheet, you can import them all at once. The video shows it all and ends by adding a group to a case.
How to do it
- Open Contacts. Go to Contacts in the menu under Settings.
- Create a contact. Click "Create new contact" and fill in the name, e-mail and phone. You can also choose which groups the contact belongs to.
- Create a group. Click "New group", name the group and tick the contacts to include.
- Import a spreadsheet. Click "Import contacts" and upload an Excel or CSV file. Columns with headers such as name, email, phone, address and position are recognised automatically.
- Check and import. Look at the preview, fix the column mapping if needed, and import the contacts. You can also put them straight into a group.
- Use the contacts on a case. Under the recipients on a case, click "Import contacts". Choose single contacts, or click a group to add all its members.
Good to know
- When importing, you can choose to update contacts that already exist, so you don't get duplicates.
- A contact can be in several groups.
- If the file has no headers, turn off the header row and map the columns yourself.
