Build a form
See how to build a form in NextSign: choose the entry point and outcome, add people and questions, test it and publish it.
With a form, you collect information online, such as a sign-up, customer details or the basis for an agreement. The form can simply keep the answers, or it can fill in documents and send them for signing.
The video shows how to build a public form that keeps the answers. Below, the steps are described.
How to do it
- Create the form. Under Forms, click "Create new form".
- Choose the entry point. Give the form a name and choose how it starts: with a public link, with personal invitations, or by a colleague filling it in.
- Choose the outcome. Choose what happens to the answers. "Save the response" keeps them. You can also have the answers fill in documents that a colleague reviews or that go straight out for signing.
- Add the people. Under People, click "Add a role" and name the role, such as Customer. With a public link, that's the person who opens the link.
- Add the questions. Click a field type, such as name, email address or date. You can spread the questions over several pages.
- Adjust the questions. Click a question to change its text, add a hint or make the answer required.
- Write the ending. Under After submission, write the heading and text people see once the form is sent.
- Test and publish. Under "Test & publish", you try the form and see whether anything is missing. Click "Publish form" when it's ready.
- Share the link. The link to the form is under Test & publish. Copy it and share it on your website, in an email or a newsletter.
Good to know
- Changes are saved as a draft. The published form only changes when you publish again.
- Questions with sensitive information can be encrypted, so the answer is stored encrypted.
- If the answers should end up in an agreement, choose an outcome with documents. You then get a step where you add the documents the answers fill in.
Questions and answers
Where do I find the answers?
Under Submissions. There you see each response with its answers and history.
Can I change a form that's already been shared?
Yes. Edit the form and publish again. The link stays the same, and new responses use the new version.
Can recipients sign in the same flow?
Yes. Choose the outcome where the documents are sent for signing, and mark the roles that must sign.
