See how a Word template gets lists, conditional sections, a logo, global fields and dropdowns, and what it looks like when the case is filled in.
A Word template can do more than insert text. With a few extra markers in curly brackets, a section can be included or left out, a line can repeat for each service, your logo and company details can fill themselves in, and the section numbers stay right whatever is included.
The video shows a template with all of it and a case where the fields are filled in. Below, you can see how to write the fields in Word.
How to do it
- Sections that are only included sometimes. Write {#discount} in a paragraph of its own above the text and {/discount} in a paragraph of its own below it. On the case, discount becomes a yes or no. If it's no, the text in between is left out entirely. With {^discount} instead of {#discount}, the text is only included when the answer is no.
- Lists. Write {#services} and {/services} in paragraphs of their own, with the fields for one line in between, such as {description}: £{price}. The line repeats for every service added on the case. If the markers are in the first and last cell of a table row, the row repeats.
- Global fields. Fields such as {company_name}, {company_address_full}, {company_cvr} and {today} are filled in automatically with your details and today's date. Under "Global fields" on the Documents page, you see all the fields with their values, and with "Add field" you create your own fixed fields.
- Logo. Write {@company_logo} in a paragraph of its own and the account's logo is inserted. Size and position go in the name, such as {@company_logo_w160_center} for 160 pixels wide and centred, or {@company_logo_h60_right}.
- Section numbers. If you type the numbers yourself, such as 3. Discount and 4. Confidentiality, they are renumbered when a conditional section is left out. Word's own automatic numbering takes care of itself.
- Field settings. Open the document and expand "Document tags". Here you give fields a name and a type. With "Field type", a field can become a "Dropdown" or "Radio buttons" with fixed choices, which you add with "Add option". Click "Save".
- Fill in and see the result. Start a case with "Single case", fill in the fields under "Document fields", and click the document under "Overview" to see the finished document.
Good to know
- A field can also be shown only when another field has a certain value, such as the discount percentage only when discount is switched on. You set this under "Visibility" in the field's settings.
- Sender fields such as {sender_name} are filled in with the person who sends the case.
- Recipient fields such as {client_name} and {client_email}, and yes or no fields for each choice in a dropdown, only work in forms, not in ordinary documents.
Questions and answers
Why doesn't the logo appear?
The marker must stand completely alone in its own paragraph, and the account needs a logo in PNG or JPEG. SVG and WebP can't be inserted into a Word document.
What happens if a global field is empty?
Then the field is blank in the document. Fill in the value once under "Global fields", and it's included in every document.
